What we collect and why

We collect your name, telephone number, email address, enquiry, preferred language and consultation preferences when you provide them. If you use our services, we also collect the documents, communications and payment records needed for the agreed work. Website security tools may collect technical information such as your IP address and browser details.

We use this information to answer enquiries, arrange consultations, provide agreed services, keep records, protect our website and meet legal obligations.

Our lawful bases

We rely on taking steps at your request before a contract and performing a contract to respond to service requests and deliver agreed work. We rely on legal obligations for records required by law, and legitimate interests to manage enquiries, maintain appropriate records and keep our services secure, balanced against your rights. We use consent where required, including for analytics cookies and explicit consent for health information.

Health and other sensitive information

Our enquiry forms ask you not to include medical details. Health details are only collected later, with your explicit consent, and only where needed for the agreed service. Before collecting special-category information, we explain what is needed, why and how it will be used. You can withdraw consent by contacting us; this may affect the support we can provide but does not affect earlier lawful processing.

Forms, cookies and analytics

Our forms use Google reCAPTCHA to help prevent spam and misuse. Google may process technical information, including your IP address, device information and interactions, for security checks. Google’s privacy policy explains its handling of this information.

Analytics cookies are used only with your consent through the cookie banner. Google Tag Manager manages tags and Google Analytics helps us understand how the website is used. You can decline analytics or change your choice through the cookie banner controls. Declining analytics does not stop you contacting us.

Providers and sharing

Our processors include Lovable Cloud for hosting and the database, GoHighLevel for customer records, and Google for reCAPTCHA and analytics. We share only what is needed for their role. We may also disclose information where required by law or where you authorise it for your service. We do not sell your information.

Access is limited to those who need it. Where providers process information outside the UK, we use applicable legal safeguards, such as adequacy decisions or approved contractual protections.

AI assistance and translation

We use the Here For You assistant, an automated chat assistant, to help with general enquiries and translation technology to help communication. Billy speaks English and Gujarati directly, with conversational support in Hindi. For other languages, we use carefully chosen AI translation tools, and we will always tell you when we are using them. These tools can make mistakes and do not replace professional advice. Do not put medical details or sensitive documents into the chat. Ask a member of staff to review anything unclear before relying on it.

How long we keep information

We keep enquiries and service records for as long as needed to deal with your enquiry and any service, and then for any period required by law. We then delete or anonymise information when it is no longer needed.

Your rights and complaints

Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, receive a portable copy, or object to processing based on legitimate interests. You can withdraw consent at any time. Contact us using the details above to exercise your rights or raise a concern.
